The director or admin can create a folder structure on any of the 4 main academy shared folders.
We recommend doing this, so you users know where to look for specific academy content.
In this tutorial, we are going to setup a new folder structure for the academy image library. It is where you will be saving all your academy shared images that your members can use in their sessions and in session plans. The 4 academy shared folders are:
- [ACADEMY FOLDER NAME] Shared Projects
- [ACADEMY FOLDER NAME] Image Library
- [ACADEMY FOLDER NAME] Sessions Library
- [ACADEMY FOLDER NAME] Video Library
Creating the folder structureYou can also use exactly the same process to create a folder structure for your academy sessions and videos libraries as well.
The naming of the folders is entirely up to you, however I will setup a common folder structure for training groups.
1. Open image library
2. Right click "[ACADEMY FOLDER NAME] Image Library" and select "New Subfolder"
or you can click the folder and click "new Subfolder" on the top menu.
This will bring up the new subfolder window.
3. Type in "Weekly Session Drills" and click "Ok"
Notice that a new folder is created in the root of the Academy image library drive.
Let's create a new subfolder in our weekly session folder. Also notice that the canvases folder already exists. This is where the academy session planner background images are stored.
It is a protected folder, so it cannot be deleted.
1. Click the new folder we created "Weekly Session Drills" so its highlighted.
2. Click the "New Subfolderr" button on the top menu.
3. When the window appears, type in "Attacking" and click "Ok"
Notice that the new folder has been created inside the "Weekly Drills Folder"
Notice that the new folder called "Attacking" has been created, and a new black arrow appears on the "Weekly Sessions Folder".
This indicates that there are sub folders within a folder.
You click the arrows to expand and close folders in the image library app.
Let's create another folder,
4. Click "Weekly Session Drills" so its highlighted.
5. Click the "New Subfolder" button on the top menu.
6. Enter "Defending" and click "Ok"
Notice that the "Defending" folder has been created in the "Weekly Session Drills" folder.
Now let's create a new root sub folder called "Daily Session Drills"
1. Right click "[ACADEMY FOLDER NAME] Image Library" and select "New Subfolder"
2. Enter "Daily Session Drills" and click "Ok"
Notice that the "Daily Session Drills" is created as a root subfolder in the image library and doesn't have any subfolders.
See how the folder structure is taking shape.
We recommend you create a folder structure for your staff to use, so its easier for them to find the academy shared imagesThe director, and admins can now copy data or save data into the shared folders we created.
Members with the user role, only have read access, so they can only copy the files out to their personal area or just load them up onto the session planner.
